Refund policy

Overview

True Path Functional Medicine ("we," "us," "our") is a direct-pay healthcare practice. Because every visit is a block of one-on-one time held just for you, our cancellation, no-show, and refund rules are written to protect both you and the Practice. Please read this policy in full before scheduling.

Cancellations and rescheduling

If you need to cancel or reschedule an appointment, we require at least 24 hours' notice. Notice can be given by phone, email, or message through your patient portal.

• Cancellations or reschedule requests made 24 hours or more before your appointment: no charge.
• Cancellations or reschedule requests made less than 24 hours before your appointment: a $100 late-cancellation fee will be charged to the credit card on file.

No-shows

If you do not arrive for your scheduled in-person appointment or do not join your scheduled telehealth visit, it will be considered a no-show and a $100 no-show fee will be charged to the credit card on file.

If you are running late, please call or message us as soon as possible. Patients who arrive (or join a telehealth visit) more than 15 minutes after the start time may be asked to reschedule, in which case the no-show fee may apply.

Credit card on file

When you book an appointment, we collect a credit card to hold the time. Your card is not charged at booking. The card is charged only:

• At the time of service for the visit fee, or
• If a late-cancellation fee or no-show fee applies as described above.

By scheduling an appointment with True Path Functional Medicine, you authorize us to charge the credit card on file for these amounts.

Refunds for completed visits

Visits are non-refundable once they have taken place. Our visit fees pay for the Practitioner's clinical time, expertise, and individualized care planning, all of which are delivered during the visit itself.

Functional lab testing

Functional lab tests we order on your behalf are non-refundable once the order is placed with the lab or the test kit has been shipped or processed. We will always confirm the cost of any lab with you before ordering.

Prescription medications and supplements

Federal and state law generally prohibit the return or refund of prescription medications and dispensed therapeutics (including peptides, GLP-1 medications, and hormone replacement preparations) once they have left the dispensing pharmacy. These items are non-refundable.

If we need to cancel or reschedule

On the rare occasion that we need to cancel or reschedule your appointment, we will contact you as far in advance as possible and offer the next available time at no charge. If you have prepaid for a service we cannot deliver, we will issue a full refund.

Technology issues during a telehealth visit

If a telehealth visit cannot be completed because of a technology issue on our end, we will reschedule the visit at no additional charge. If a visit is interrupted by a technology issue on your end, we will work with you to complete the visit when possible; if we cannot, the standard cancellation rules apply.

Billing errors

If you believe you have been billed in error — for example, double-charged, charged for a visit that did not occur, or charged the wrong amount — please contact us within 30 days of the charge so we can review and correct it. Confirmed billing errors will be refunded in full to the original payment method.

How refunds are processed

When a refund is approved, we will process it back to the original payment method. Please allow up to 10 business days for the refund to appear on your statement, depending on your bank or card issuer.

Insurance

True Path Functional Medicine does not bill insurance and is not contracted with any insurance company. A superbill can be provided on request that you may submit to your insurance for possible reimbursement; reimbursement is not guaranteed and is not a basis for a refund from the Practice.
